Cancellation and Refund Policy

M/s. Kairalitrails LLP, bearing LLP Identification Number: ACG-5037, a Limited Liability Partnership incorporated under the Limited Liability Partnership Act 2008, (hereinafter, referred to as the “Kairalitrails”/ “Us” “We” or “Our”, which expression shall, unless repugnant to the context or meaning thereof be deemed to include its legal representatives, authorized personnel and permitted assigns). References to “you” and “your” in these terms and conditions (the “T&Cs”) means all persons named on your booking (including anyone who is added or substituted at a later date). Under these T&Cs, references to “Origin Supplier” means the third-party supplier of the Services/ original service providers and references to us as the “agent” means the disclosed agent of the Services.

GENERAL TERMS

1.1
Booking Cancellation
1.1.1
We shall not be under any obligation to provide any refund, reimbursement, or compensation in respect of any booking where you have failed to adhere to the Terms and Conditions (hyperlink to be inserted), unless otherwise mandated by applicable statutory provisions.
1.1.2
Alterations in the booked airline, scheduled flight timings, or aircraft type shall not confer upon the customer the right to cancel or alter the booking without incurring applicable change or cancellation fees, save and except where explicitly stipulated to the contrary.
1.1.3
All requests for cancellation must be submitted in writing to our designated customer support team. Telephonic or verbal cancellation requests shall not be deemed valid.
1.1.4
Cancellation requests are subject to our confirmation, and any entitlement to refund shall be contingent upon the nature of the booking and the date on which the cancellation request is received.
1.2
Refund Processing
1.2.1
Refunds, where applicable, shall be initiated within a period of seven (7) to fourteen (14) business days from the date on which the cancellation is duly acknowledged and confirmed by us.
1.2.2
Refunds shall be remitted to the original mode of payment unless an alternative mode is mutually agreed upon in writing.
1.3
Non-Refundable Bookings
1.3.1
Select bookings including, but not limited to, promotional packages, last-minute reservations, or any other services marked as non-refundable shall not be eligible for any refund under any circumstances.
1.3.2
Bookings for private or customised itineraries shall attract a cancellation fee equivalent to 100% of the total booking value, and no refund shall be issued in such cases.

CANCELLATION CHARGES

2.1
Tour Package
2.1.1
Subject to this Cancellation and Refund Policy and our Terms and Conditions (hyperlink to be inserted), the following refund structure shall apply in the event of cancellation of tour packages:
  • Cancellations made 90 days or more prior to the scheduled travel date: Eligible for full refund, subject to deduction of applicable administrative and service charges.
  • Cancellations made less than 30 days prior to the travel date: No refund shall be issued.
  • Cancellations made between 30 to 59 days prior to travel: 50% of your total booking value shall be refunded, less administrative and service charges.
  • Cancellations made between 60 to 89 days prior to travel: 70% refund of the total package cost, less administrative and service charges.
2.2
Air Tickets
2.2.1
In cases flight tickets are non-refundable by origin supplier, and the consumer initiates cancellation, a 100% cancellation fee shall apply unless otherwise provided under the respective airline’s policies.
2.2.2
Airfare cancellation charges shall be governed by the terms and conditions of the relevant airline operator. In addition, Kairalitrails reserves the right to levy a service fee and administrative charges for processing the said cancellation.
2.3
Hotels
2.3.1
Hotel bookings marked as non-refundable shall not be subject to cancellation or modification, and no refund shall be issued in such cases.
2.3.2
Failure to check in on the scheduled date and time (“no-show”) shall be treated as a deemed cancellation, subject to a cancellation fee up to 100% of the booking amount.
2.3.3
For all accommodation-related services, administrative fees and cancellation charges as per the origin supplier’s policies shall apply.
2.3.4
All refunds are subject to standard deduction of administrative and service charges to be charged by us as per our internal policy.

FORCE MAJEURE AND EXCEPTIONAL CIRCUMSTANCES

3.1
Except as otherwise expressly provided, we shall not be liable for any delay or failure in performance arising from circumstances beyond our reasonable control (“Force Majeure Events”), including but not limited to: acts of God, natural disasters, pandemics, government restrictions, war, civil disturbances, or acts of terrorism, which could not have been avoided even with due diligence.
3.2
In the event that a origin supplier cancels a booking for reasons not attributable to any negligence or default on our part, no refund shall be issued unless expressly provided under applicable laws.

AMENDMENT POLICY

4.1
Amendments by Customer
4.1.1
All amendment requests, including changes to travel dates, destinations, or booked services, must be submitted in writing and shall be subject to availability and applicable amendment fees.
4.1.2
Such requests shall only be processed upon written confirmation from our customer support team.
4.2
Amendments by Kairalitrails
4.2.1
If a material error, including but not limited to incorrect pricing or service listing, is discovered post-confirmation, Kairalitrails reserves the right to cancel such booking issue refund as per the standard refund policy.
4.2.2
If the cancellation arises due to circumstances such as withdrawal of services by a origin supplier or operational exigencies, we shall notify the customer promptly. An alternative package may be offered, and any difference in price and any additional charges shall be duly communicated.
4.2.3
If the alternative arrangement is of a lower value or standard, the customer may be entitled to an appropriate price reduction. However, where the customer chooses to reject the proposed alternative, such rejection shall constitute a waiver of any further refund entitlement.

SPECIAL CASES

5.1
Visa Denial
5.1
In the event of visa rejection or denial by the relevant authorities, NO refund shall be issued. It is the sole responsibility of the consumer to fulfil all visa requirements prior to travel.
5.2
No-Show Policy
5.2
No refund shall be provided in cases where the consumer fails to appear or report for the booked trip, event, or activity, regardless of the underlying cause.

REFUND EXCLUSIONS

6.1
No refund shall be issued where cancellation or modification arises due to the consumer's own negligence, omission, or breach of booking conditions.
6.2
Partially utilised services (e.g., unused accommodation nights, missed activities) shall not be eligible for any refund, whether in full or in part.

YOUR RESPONSIBILITIES

7.1
Accuracy of Information
7.1.1
The customer shall be solely responsible for ensuring that all information provided at the time of booking is accurate and complete. Any inaccuracies (including but not limited to names, dates, or passport details) may attract additional charges for corrections, for which the customer shall be liable and no refund shall be issued.

YOUR BEHAVIOUR

8.1
We reserve the right to deny you access to our services, cancel any existing bookings, or restrict further interactions with our platforms and support teams where, in our sole discretion, your conduct is deemed to constitute:
  • (i) fraud or abuse
  • (ii) non-compliance with applicable laws or regulatory requirements
  • (iii) inappropriate, abusive, or unlawful behaviour towards us or any of our affiliated suppliers.
In such cases, we may terminate your bookings with immediate effect and no further liability and no refund shall be issued. If you believe that a cancellation was made in error, you may request a review by submitting a written grievance in accordance with the dispute resolution mechanism outlined in our Terms and Conditions
